How to set up an email signature on mobile?

How to set up an email signature on my mobile phone?

Here, there are two possible scenarios:

  1. You already have a signature on desktop: You can adapt it for mobile format. If it's an image, we recommend first editing it on your computer and then transferring it to your mobile device. Just make sure it adheres to the 300px width by 150px height format. And if it’s an HTML signature, simply copy and paste it directly into the appropriate field (don’t forget to do some tests to ensure it displays correctly);
  2. You don’t have a desktop or mobile signature. You’re starting from scratch: The first step is to create your signature! In this case, we recommend creating both the desktop and mobile versions from your computer. However, if you prefer a simple text signature, you can create it directly on your smartphone. But for a more aesthetic and elaborate signature, it’s better to use a computer. And fortunately for you, there are many email signature solutions available.

How to sign an email on the Mail app (iPhone)?

To add a mobile email signature on iPhone, here are the steps to follow:

  1. Prepare your signature in HTML format, then select it and choose "copy";
  2. In the settings, choose the Mail app;
  3. Then, scroll down to the "Composing" section;
  4. Click on "Signature";
  5. And paste your HTML signature!

At this point, it’s quite possible that your signature won’t display 100% correctly.

The reason?

Because the iPhone's signature editor is basically just a simple text editor, not an HTML editor.

But to work around this problem, here’s a practical tip:

  1. Go back to the iPhone settings;
  2. Then, go to "Accessibility";
  3. Click on "Touch";
  4. Make sure the "Shake to Undo" option is enabled;
  5. You can now go back to the iPhone signature editor (Settings/Composing/Signature);
  6. Copy your signature again (it will still appear with the wrong formatting);
  7. Shake your phone! A window will pop up with the message "Undo Edit Attributes";
  8. Press "Yes," and the correct formatting should be applied!

How to create a signature on Gmail (iPhone and Android)?

By default, the app used to send emails on Android is Gmail. So, if you’re on an Android device, or on iPhone with the Gmail app, here’s how you can proceed:

On iPhone (iOS)

  1. Open the Gmail app and go to Settings:
  2. Select the relevant account;
  3. Go to "Signature Settings";
  4. Turn on the "Signature" switch;
  5. Enter (or paste) your signature in the text field;
  6. Press the back arrow to save.

On Android

  1. Open the Gmail app and go to Settings:
  2. Select the relevant account;
  3. Go to "Signature Settings";
  4. Turn on the "Signature" switch;
  5. Enter (or paste) your signature in the text field;
  6. Press the back arrow to save.

Note that the mobile version offers fewer formatting options than on a computer. However, you can still easily include your full name, title, and essential contact details.

Quick tip: for a more elaborate signature, create it first on Gmail’s web version, then sync it with the mobile app. This will allow you to integrate visual elements, like a logo or clickable links, making your signature more professional, even on the go.

How to set up a signature on Outlook mobile (iPhone and Android)?

To set up an Outlook signature on iPhone or Android, it’s also quite simple. Here’s how to do it:

On iPhone (iOS)

  1. Open the Outlook app;
  2. Tap on your profile picture (or company logo) on the left;
  3. Tap the gear icon (Settings) in the toolbar, at the bottom left;
  4. Tap on "Signature";
  5. Type (or copy) your signature in the text field;
  6. Close the Settings to save.

On Android

  1. Open the Outlook app.
  2. Tap on your profile picture (or company logo) on the left;
  3. Tap the gear icon (Settings) in the toolbar, at the bottom left;
  4. Tap on "Signature";
  5. Scroll down to "Mobile Signature" and tap on it;
  6. Type (or copy) your signature in the text field;
  7. Tap the small check mark at the top right to confirm.

Quick tip: as with Gmail, we recommend first creating your signature on desktop and then syncing it with your mobile devices. This way, you’ll have better control over the overall design of your signature and the information you want to display.

Pay attention to your signature formatting

To ensure your mobile signature displays correctly, you’ll need to pay attention to certain formatting elements.

Dimensions of your mobile signature: It is recommended to use dimensions of 300 pixels in width by 150 pixels in height. This way, you ensure that everything displays correctly, regardless of the devices used.

Tips for legible signatures on mobile

To improve the readability of your signature, make sure to prioritize simplicity!

For example:

  • Use a sans-serif font like Arial or Helvetica, with a minimum size of 12 points to ensure easy reading on small screens;
  • Only include icons of your main social networks (no need to overdo it). These buttons should be at least 44x44 pixels for easy tactile interaction;
  • Opt for contrasting colors, like black text on a white background, to improve visibility.

It’s up to you! As an administrator of the Letsignit platform, you choose whether or not to grant modification rights to your employees. These permissions are managed on an attribute-by-attribute basis, which means that you can decide to allow the employee to change their phone number, but not the address of your premises, for example.

This feature applies to all attributes in your directory, including custom attributes created on Letsignit. When your employees change one or more attributes, your directory is obviously not affected.

  • If you opt for the Letsignit Desktop APP, they will be able to preview all their signatures and campaigns in this space. If they want to change their default signature to another one when sending an email, this will be done in their signature library in Outlook.

In both cases:

  • They preview their signature before sending an email and choose from signatures assigned to them.

Add a logo to your mobile signature

To enhance your professional image with your mobile signature, you can also add a logo. To do this, you can directly copy your image from your gallery into the signature field (see the steps above, which may vary depending on whether you use Mail, Gmail, or Outlook). If the image format doesn't seem to work, consider copying a logo in HTML format instead.

Additionally, make sure to resize your logo to about 80x80 pixels to ensure its visibility without overwhelming the screen. Opt for a PNG format with a transparent background for better visual integration.

Why is my Gmail signature not displaying on mobile?

If your Gmail signature is not showing on mobile, there could be several reasons for this. By default, Gmail uses a specific signature on mobile devices, different from the one set up on the web version.

To check and modify this, open the Gmail app on your phone, go to settings, select your account, and then "Mobile Signature." If this option is not enabled or configured, the signature will not appear in emails sent from your mobile.

Make sure the app is up to date. If needed, follow the steps mentioned earlier (in the section "How to create a signature on Gmail (iPhone and Android)?").

Why is my Outlook signature not showing on mobile?

If your Outlook signature is not showing on mobile, it could be due to several reasons. If your signature is not synchronized by default from your computer, you may need to configure a separate signature on the Outlook mobile app.

In this case, open the Outlook app on your phone, go to settings, select your account, then go to "Signature." If your signature is not appearing, make sure to add it.

If needed, follow the steps mentioned earlier (in the section "How to add a signature on Outlook (iPhone and Android)"). If the signature is not configured there, it will not appear in your emails sent from the mobile app.

To fix this issue, create your signatures in HTML format and make sure to simplify the code as much as possible. It's also recommended to replace images with alternative text to ensure readability in case the images don't load.
