By
Letsignit

Email signatures need no introduction! This fantastic tool allows you to make your communication more impactful and promote your business. And you can do it (almost) without thinking about it.

But how do you add an email signature to Gmail, Google's email service? You'll see that in just a few clicks, you can automatically add a professional signature to all your correspondence.

How Can I Add or Insert a Signature to My Google Email?

To add a professional signature to Gmail, Google's email service, you can do so in several ways:

  • Create your signature directly in Gmail for the web, following the steps described in the next section. This is the most advantageous option in terms of customization.
  • Create your signature from the Gmail mobile app, a process also described below. Although much more limited in terms of customization, this option still allows you to create a simple signature with your essential information.
  • Add a signature from a graphic editor or an email signature generator. In this case, the signature will be added in image or HTML format inserted into the Gmail signature editor, or via an extension, depending on the tool used.

Creating a Gmail Signature With an Image or Logo: Two Possible Approaches

First of all, a clarification is in order! When you want to create a Gmail signature with an image, this can mean:

  • Integrating an image in addition to a text or HTML signature, such as a photo or logo.
  • Using an image generated elsewhere as an email signature.

How to Add an Image or Logo to a Text or HTML Signature

First, follow the steps described above to create a signature from Gmail web.

After clicking on Create, enter your signature text and then click on the Insert image icon (table-shaped symbol). Then choose your image from your computer or from Drive, resizing it if necessary.

At this stage, you can also add a clickable link by selecting the image and then clicking Insert link.

Using an Image as an Email Signature

Start by creating your signature in image format using a graphics editor such as Canva, or using an email signature generator. Choose JPG or PNG format and a width of 600 px, with a file size of less than 100 KB. Download and save your image to your computer or Drive.

Follow the steps described in the previous section on adding images, and add your email signature in image format. You can also add a clickable link directly to your signature.

How to Add an HTML Signature to Gmail

Gmail HTML signature

It is also possible to integrate an HTML signature into Gmail. To do this, generate the HTML code from a signature editor such as HubSpot. Simply copy this HTML code, if your tool offers it, or open the visual rendering in your browser and copy it.

Then follow the steps described above to find the section dedicated to creating signatures. Paste the HTML code into the signature editing field. You can test the result by sending yourself a test email to make sure the signature displays correctly and the links work.

How Does the Signature Feature Work in Gmail?

Yes, it is entirely possible to create and use different email signatures in Gmail. The signature feature works by automatically adding a predefined block of text, images, and links to your outgoing emails. For example, you can set a different automatic signature by default for your replies and for your new emails.

Each time you create a new email signature, it is saved in the section dedicated to signatures.

To change your email signature "on the fly":

  1. When composing your message, click on the pen icon at the bottom right of the compose window.
  2. The list of your email signatures will be displayed.
  3. Choose the signature you want to insert or include. It will then replace the one that is already integrated.

How Do I Edit or Customize My Gmail Signature?

Have you launched new offers, changed jobs, or need to add a disclaimer to your signature?

It's time to update your email signature. Changing it is easy:

Settings > See all settings > General > Signature, then make the necessary changes in the text box.

How Do I Remove or Delete My Gmail Signature?

Delete Gmail Signature

To remove or delete your Gmail signature :

  1. Go to Settings > Show all settings > Signatures.
  2. Select the signature you want to remove and click the delete icon (trash can).
  3. Alternatively, to temporarily stop using a signature without deleting it, change your default settings to "No signature" for new emails and/or replies.

Questions
Fréquentes

1

Is it possible to track the number of clicks on email signatures?

Yes, with the 'Campaigns' offer, it is possible to track the number of clicks on the email signatures of all your employees in the 'Statistics' area of the platform.

You can then access a detailed or global view of the number of clicks on the email signatures of each employee. You can use the search option to target a specific signature or a given period. Finally, you have the possibility to export all statistics to an Excel document.

If you launch campaigns with banners inserted in your email signatures, you can also access their performance via this same space.

2

Can we add links to social networks, our website, and appointment-setting applications such as Calendly?

With Letsignit, you can easily add social network icons in your collaborators' email signatures and link to your company pages. Also, our "attributes" feature allows you to manage personalized URLs for each of your collaborators such as their individual LinkedIn profile.

And that's not all: you can add links to an appointment-setting application, allow your customers to leave reviews easily, and integrate our 'Chat on Teams' widget to let anyone start a discussion via Microsoft Teams chat.

3

Can employees update their signature information themselves (number, function, etc.)?

It’s up to you! As an administrator of the Letsignit platform, you choose whether or not to grant modification rights to your employees. These permissions are managed on an attribute-by-attribute basis, which means that you can decide to allow the employee to change their phone number, but not the address of your premises, for example.

This feature applies to all attributes in your directory, including custom attributes created on Letsignit. When your employees change one or more attributes, your directory is obviously not affected.

4

Why it is important to standardize our email signatures on a large scale to ensure our identity and brand image?

It often happens that employees make their email signature their own: custom format, bad fonts, colors inconsistent with the brand standards... all of this has an impact on your brand!

A consistent visual identity is considered authentic and outperforms a perceived weak one by 20%. And, your customers are 2.4 times more likely to buy your products.

With Letsignit, take back control over your brand identity by standardizing all your email signatures. Our tool has many features that allow you to customize your signatures by department, by audience or by subsidiary. Not to mention the possibility of carrying out campaigns within your email signatures thanks to our Campaign offer.

  • If you opt for the Letsignit Desktop APP, they will be able to preview all their signatures and campaigns in this space. If they want to change their default signature to another one when sending an email, this will be done in their signature library in Outlook.

In both cases:

  • They preview their signature before sending an email and choose from signatures assigned to them.
  • Based on the permissions granted, they will also be able to modify their personal information such as their name, position, or address in these spaces.

In short, they have autonomy in their email signature, but you keep control on the field, signatures, and banners they can edit or use.

6

Can my employees have multiple signatures available to them?

With our "multi-signature" feature, your employees can benefit from multiple email signatures. No technical manipulation is required. Thanks to our Add-in for Outlook or the desktop app, they can change their email signatures as they wish with just a few clicks.

7

Regarding “Green IT,” have you implemented measures to limit the digital footprint of email signatures?

If sending emails has an impact, non-optimized email signatures also have an impact. An unsuitable format or an image that is too heavy considerably increases the size of your signatures... and therefore, your emails.

As a responsible economic actor, we contribute to reducing our CO2 emissions and those of our customers in several ways:

  • Optimization of the weight of signatures and campaigns in emails.
  • Green features: lightening of signatures during response/transfer emails, possibility of not embedding images, implementation of lighter signatures for internal exchanges.
  • Integration of a 'Switch to Teams' widget to encourage your employees to continue their exchanges via chat, rather than email.

As we are increasingly involved in sustainability initiatives, our priority in 2023 is to develop even more green IT functionality.
